Businesses Should Use the Best Multi Line Phone System

By | November 21, 2015

Even with the increasingly popularity of online networking tools, businesses and organization still depend the telephone for a large portion of their daily communications. Technology has brought some dramatic changes to phone services, with purchasing options more numerous than ever before. The best multi phone lines will be the one which addresses the needs of your space and staff members without compromising the needs of your clients or customers.

How many phone lines do you need?

The answer depends less on how many staff members you have rather than the odds of how many will be using the phone at the same time. It is easy to underestimate the value of coordinating extensions. A small office of 2 people would benefit with 2 lines, or you both won’t be able to use the phone at the same time. A 100 person organization may only require 20 lines. Also consider the idea of putting people on hold or call waiting if this is workable concept for your business.

Most businesses coordinate their extension through a PBX (private branch exchange) which routes call, manages voicemail and transfers to different extensions.

You will need to use a PBX system if you want to connect your phone numbers into one central phone system to do any of the following:

  • Route phone calls from your central “receptionist” — either an actual person or an automated system that leads callers to dial the right extension.
  • Manage phone traffic to allow multiple people to use the same set of phone
  • Allow staff members to forward calls, put them on hold, or reach each other by dialing only one extension.
  • PBX offers the expected features like voicemail, caller ID, and call forwarding.

There are great primary PBX choices. Such as a small phone system like the Panasonic KX-TG4500B and have a base station with inputs for up to four different lines that can be routed to remote units around the business.

It is easy to find entire stores dedicated to phones. However, to this date, some of the best phones are found on Amazon. Better, the prices are comparable. Decent models start around $40. A phone is a phone, and if all you need is two lines for staff members, you can buy the same type of phone you might use at your house. It is possible to mix and match systems with a low-end phone system and PBX combo.

Business-class phones are intended usually for use with digital phone lines and specific PBX systems. Consider your business needs before you invest in them, make sure they will work with your infrastructure. Amazon carries refurbished office phone systems like the Panasonic KX-TGF383M for a less cost than you would pay anywhere else.

Before you make a decision, check with your local phone and broadband providers. Chances are they offer packages that include digital phone service and a virtual PBX. This will probably be more expensive, but also more robust, than the first two options. Again, make sure your digital phone lines are separate from the line you’re using to access the Internet, and that you have enough bandwidth to handle both.

Setting up an office phone system can be complicated, as it is equally important to think ahead in terms of the system itself. If you use a hosted or a virtual PBX, you want to be sure your provider will still be around 5 to 10 years from now. For your physical systems will you be able to get handsets on an older system? Compatible phones can be hard to find. Even more so, is trying to find the manuals. Ongoing support should be around during the life of the phone system.

Phone systems don’t have to be exciting, but they had better be dependable.
